How to Update Invalid or Incomplete Records

The RFU want to help all clubs understand their playing base better in order to help them retain more players and ensure a strong rugby return in September and beyond. We know that accurate data and being able to engage with and contact all players is important. However, there is a large proportion (75%) of inaccurate data across both age grade and adult rugby at the moment in GMS. With this in mind, a process has been created for unusable records to be archived.  

Club administrators with access to the 'People' grid at their club (Permission level 2-5) will be able to view records that are not currently meeting the RFU’s Minimum Data Standard.   


To view the records that are missing data at your club, once logged into GMS (ensure you are ‘editing’ your club/ organisation) navigate to the ‘People’ module via the 'Modules' menu. 


From the ‘People Dashboard’ you will see three widgets/panels that have been added to the right hand side of the page to provide a view of the data quality and completeness at your club.  


‘Total Individuals not meeting RFU Minimum Data Standard’- This widget will show you the total number of all records at the club currently that do not meet the criteria set out in the ‘RFU Minimum Data Standard’. This is the number of records that may be archived by the RFU should no action be taken by the club to update these records.  


‘Missing Data’- This widget has been updated to provide club administrators with the number of records that are missing that specific field against their record. By selecting this field, you will be taken to a grid of individuals. Records can then be updated from this grid should you wish to. 


Verification and Usage’- This widget displays the number of individuals that do not have a validated email address. By selecting this field, you will be taken to a grid of individuals. Records can then be emailed from this grid, when emailing from GMS, user IDs are included in the footer and will enable users to login, validate their email address and update their details where appropriate. 


Once records contain all required information and meet the minimum standard, these records will no longer appear in the Total Individuals not meeting RFU Minimum Data Standard’ widget. 


Note: ‘Missing Parental Links’ currently only displays individuals without linked to a 'parent/guardian' relationship. However all other relationships (for example Grandparent, Next of Kin and other ‘parental’ relationships) will not be included in the archive provided the account meets all the remaining criteria.
