An editable Club Email Template is now available to make it even easier for club administrators to select records for parents/guardians or players and contact them by email to affiliate with details on how to affiliate, including links to the relevant Help Portal docs with the step by step videos.
Provided you have the relevant role and permission level to access the ‘People’ module, steps are as below:

Step 1:
- Navigate to the ‘People’ module > ‘Everyone’ Grid and using the filter on the right hand side of the screen to select the individual/individuals you wish to contact by email.
- Example below using filters ‘Player’: No or Yes and ‘Age at Start of Season’: Less than 18
Could use further filters for ‘Gender’ and between certain ‘Age at Start of Season’ if you wish to locate individuals for a certain AG band e.g. U14 Male or U15 Female
Step 2:
- Select the individuals by the tick menu next to First name for either ’Select Page’ or ‘Select All’.
Step 3:
- Click on the ‘Email’ option in top row and select ‘Send Affiliation Instructions’
Step 4:
- On the Email Builder the template has been pre-populated for you and any fields such as {{FullName}} or [[CLIENT NAME]] will auto populate. Then before sending simply:
- remove Section A or B if sending new affiliations or renewals instructions (or can leave both sections on)
- Edit the Membership fields/remove the membership if not required.
- Edit the fields required at the very bottom for Insert Name and Contact Details as yourself
Step 5:
- Select ‘Parents Only’ option under the ‘Youth Safeguards’ box on the right-hand side to ensure the emails only goes once to the Parents email for the linked child record. Otherwise, the parent will receive duplicate emails.
- Click ‘Send’
